This Privacy Policy explains how Life in the UK AI LTD (“Life in the UK”, “we”, “us” or “our”) collects, uses, stores and shares personal information when you use our website, mobile application, AI assistant, job agency and temporary staffing services.

1) Who We Are

Life in the UK AI LTD provides an AI-powered informational service and recruitment and temporary staffing services, primarily for hospitality businesses in the United Kingdom.

2) Information We Collect

App, website and AI users

• Email address and account or Firebase user ID;
• Basic profile preferences, such as selected language or nationality;
• Messages sent to the AI assistant and files voluntarily uploaded;
• Anonymous client identifier for guest access and usage limits;
• Technical and security information, such as device data, crash logs, IP address and performance diagnostics;
• Cookie and similar technology data where used.

Job applicants and temporary workers

• Name, contact details, date of birth, location and availability;
• CV, work history, skills, qualifications, references and language ability;
• Identity and right-to-work information, including copies of documents where necessary;
• Role preferences, assignments, attendance, hours, timesheets, performance and incident information;
• Payment, tax and bank details where needed to administer payment;
• Health, accessibility or other sensitive information only where necessary and lawful.

Restaurant and business clients

• Names, job titles, business contact details and workplace information;
• Staffing requests, bookings, correspondence, shift records, timesheets, invoices and payment records;
• Feedback, complaints, incidents and information needed to manage assignments.

Please do not provide personal information that is not necessary for the relevant service.

3) How We Use Information

We may use personal information to:

• Provide, secure and improve our website, app and AI assistant;
• Authenticate users, prevent abuse and enforce usage limits;
• Register candidates and assess suitability, availability and right to work;
• Match workers with assignments and share necessary candidate information with prospective or confirmed hirers;
• Arrange and administer shifts, timesheets, payments, invoices, complaints and incidents;
• Communicate about accounts, applications, assignments and services;
• Meet legal, regulatory, tax, accounting and safeguarding obligations;
• Establish, exercise or defend legal claims.

4) AI Processing

Our AI assistant uses the Google Gemini API. When you submit a message, the chat text and relevant context, such as selected language or nationality, may be transmitted through Google Firebase Cloud Functions to Google for the purpose of generating a response.

We do not intentionally send your password, contacts, phone number or precise location to the AI provider unless you voluntarily include that information in a message or upload. Do not enter confidential or highly sensitive information into the AI chat.

AI processing is used to provide service functionality and is not used by us for cross-app tracking or data brokerage. Where required, we ask for consent before first use of the AI assistant. If consent is withdrawn, AI functionality may become unavailable.

5) Lawful Bases

Depending on the activity, we rely on one or more of the following lawful bases under UK data protection law:

• Performance of a contract or steps requested before entering a contract;
• Compliance with a legal obligation;
• Our legitimate interests, including operating a staffing business, matching candidates, securing our services, preventing fraud and managing legal claims;
• Consent, where consent is required and can be withdrawn;
• Appropriate legal conditions for special-category or criminal-offence information, where applicable.

6) Who We Share Information With

We may share only the information reasonably necessary with:

• Restaurants and other hirers considering or receiving a worker;
• Workers where necessary to provide assignment details;
• Google Firebase and Google Gemini for app infrastructure and AI responses;
• Hosting, communications, payroll, payment, accounting and professional service providers;
• Regulators, law-enforcement bodies, courts or other parties where required by law or necessary to protect legal rights.

We do not sell personal information. A hirer that receives candidate information may have its own responsibilities as a data controller.

7) International Transfers

Some service providers may process information outside the United Kingdom. Where required, we use recognised safeguards for international transfers, such as adequacy regulations or approved contractual protections.

8) Retention

We retain information only for as long as reasonably necessary for the purpose for which it was collected and to satisfy legal, accounting, regulatory or claims requirements. Retention periods vary by record type. Candidate records are reviewed periodically and deleted or anonymised when no longer needed, unless the person asks us to keep their profile for future work or a longer period is legally required.

9) Security

We use reasonable technical and organisational measures to protect personal information. No internet or storage system is completely secure, and we cannot guarantee absolute security.

10) Your Rights

Subject to applicable law, you may have rights to access, correct or erase your information; restrict or object to processing; receive portable data; and withdraw consent. You may also complain to the UK Information Commissioner’s Office.

To exercise a right or request account deletion, email management@lifeintheuk.ai. We may need to verify your identity.

11) Children

The AI app is not intended for children under 13. Job agency and temporary work services are not offered to anyone below the lawful working age for the relevant role and assignment.

12) Changes to This Policy

We may update this Privacy Policy when our services or legal obligations change. We will publish the updated version and revise the “Last updated” date. Where a change materially affects your rights, we will provide additional notice where reasonably practicable.
